Balancing between responding to Instagram DMs, emails from clients, and messaging on Slack simultaneously drove me mad. I simply could not find the right thread where the client had sent an important message to me in all the clutter. And context-switching became really tiring after a while.

Eventually, I decided to create my own customized dashboard that consolidates my Gmail inbox, Slack, MS Teams, and even Instagram into one window.

However, I am interested to learn how the rest of you manage to cope with all that. Is there a special tool that you use to streamline everything? Or do you allocate particular time slots for different platforms?

The problem is definitely real. Context switching across communication apps destroys focus way more than people realize, especially once clients start mixing approvals, urgent requests, and random messages across different platforms.

The biggest challenge for tools like this is usually not aggregation, it’s prioritization and context preservation. A unified inbox sounds great until everything becomes one giant stream of noise again.

What actually helps me most is being able to tie conversations back to projects, tasks, campaigns, or approvals instead of just consolidating messages into one feed. That’s why a lot of people eventually move toward workflow-centric setups instead of pure inbox unification. We ended up using Runable internally for some of that because it handled communication context alongside campaign planning, revisions, and client workflows instead of treating messages as isolated threads.
