How I manage Pinterest for 12 clients without working weekends
The Why: I'm a social media VA specializing in Pinterest. Started with 3 clients doing everything manually – now managing 12 accounts efficiently.
The Setup:
- Tailwind Teams account ($149/month – clients reimburse)
- Notion for client management and content calendars
- Canva for quick pin designs
- Clockify for time tracking per client
The Process (Monday Workflow):
9:00-10:00 AM: Content Audit
- Check each client's Tailwind analytics from previous week
- Screenshot top-performing pins for replication
- Note any trends or algorithm changes
10:00-12:00 PM: Bulk Content Creation
- Design 50-75 pins using client brand templates in Canva
- Use Tailwind's bulk upload feature
- Apply SEO-optimized descriptions using their Ghostwriter (saves 30+ minutes)
1:00-3:00 PM: Strategic Scheduling
- Use SmartSchedule to optimize posting times per account
- Distribute content across Pinterest Communities for amplification
- Set up 2 weeks of content per client
3:00-4:00 PM: Client Communication
- Generate weekly reports from Tailwind analytics
- Send performance updates via Slack
- Respond to any client Pinterest strategy questions
What Doesn't Work:
- Manual posting across accounts (obvious)
- Same pin templates for every client (Pinterest punishes duplication)
- Ignoring Pinterest Communities (huge missed opportunity)
Game-Changing Discoveries:
- Tailwind's approval workflow prevents client micromanagement
- Pinterest users have 2x higher purchase intent than Instagram
- Seasonal content planning 3 months ahead performs better
- The "Create" AI tool speeds up design but needs human touch
Lessons Learned:
- Pinterest requires different strategy than Instagram/Facebook
- Consistency beats perfection (daily posting > sporadic "perfect" pins)
- Analytics matter more than follower count for client ROI
Reality Check: Tailwind subscription is expensive but saves 15+ hours weekly. Without automation, I could only handle 4-5 clients max.
